Where we work

Hotel management software for Kenyan properties

Stellar HMRI is built and supported from Nairobi. Guests pay deposits by M-Pesa, invoices carry VAT and the catering levy, rates can differ for citizens, East African residents and non-residents, and questions reach a team working your hours.

Priced and billed in shillings

Currency is set per country on your organisation, so rates, invoices and the booking engine all show KES with the right formatting. Guests are not asked to convert in their heads.

Guests pay with M-Pesa

Deposits and balances are collected by STK push straight to your own Paybill or Till, so the money never passes through us. The prompt goes to the guest's phone, and Safaricom's confirmation records the payment and the receipt code against the invoice.

VAT and the catering levy on every invoice

Both are charged on the net amount at the rates you set, tax-inclusive or exclusive, and appear as separate lines on invoices and receipts. The VAT and levy return shows the period totals by tax band, with a CSV for your accountant.

Resident and non-resident rates

Publish a different price per room type for Kenyan citizens, East African residents and international guests, with room only, B&B, half board or full board. The website, the front desk and the invoice all price from the same table.

Support in your hours

The team is in Nairobi. Onboarding calls, migration and day-to-day questions happen during your working day, not overnight.

Frequently asked questions

Does Stellar HMRI handle Kenyan VAT and the catering levy?
Yes. Every charge, including restaurant and bar sales, is split into net, VAT and levy at the rates set for Kenya, and both appear on the invoice. The reports section produces the period totals and a CSV.
Can guests pay by M-Pesa?
Yes. You connect your own Daraja credentials for your Paybill or Till, and guests get an STK push to approve on their phone. Staff can also send a prompt from the invoice, or record a transaction code from the confirmation SMS; the same code can never be recorded twice.
Does Stellar submit invoices to KRA eTIMS?
Not yet. Invoices carry what KRA needs, including both PINs, tax bands and itemised lines, and finance records the control unit number against the invoice, which locks its amounts. Transmitting directly requires approval as a KRA third-party integrator, so today you issue through the eTIMS portal or client and record the number.
What about the guest register and data protection?
Check-in can be blocked until the guest's ID or passport, nationality and movements are recorded, as the Hotels and Restaurants Act requires. Guests consent when they book, their data can be exported or erased on request, and identity numbers are deleted automatically after your retention period.
Can we bill guests in shillings but report in dollars?
Each property bills in its own currency. Groups operating across several countries keep a currency per country, so each property invoices locally.
Do you support properties outside Nairobi?
Yes, including lodges and camps where staff work from a tablet. If the connection drops mid-service, restaurant and bar orders are held on the device and post themselves when it returns, without charging twice.
